Most slow rope quotations share one cause: an underspecified RFQ. “Please quote 10 mm PP rope” reads like a complete sentence and is not. The supplier has to choose between guessing (and quoting the wrong product) and replying with ten questions before a price is possible. Either way, the buyer loses a round of correspondence. This guide is written to skip the second round.
Vague RFQ vs usable RFQ
A vague RFQ describes a category. A usable RFQ describes a product. The difference is eight to ten fields and a sample.

The second column is quotable on the first reply. The first column is not. The cost of the second column is five minutes of the buyer’s time.
The fields that change the price
Most rope RFQs end up circling the same eight to ten fields. They are listed here in the order they typically change the price:

Material. PP, PE, polyester, nylon, cotton, jute, sisal — or a behaviour the buyer wants (“must float”, “3-year outdoor service life”, “food contact”). The supplier can propose the fibre if behaviour is stated, but a named material is faster.

Construction. 3-strand twisted, diamond braided, hollow braid, double braid, solid braid, 8-strand plaited, split-film twine, monofilament twine and so on. Construction changes price and performance as much as fibre, sometimes more.

Diameter / twine size. Rope: nominal mm with an acceptable tolerance. Twine: runlength in m/kg (e.g. 200 m/kg) or denier/ply (e.g. 210D/12). See how rope is measured and how to choose rope diameter.

Length and quantity. Both. “200 m coils × 500 coils” or “total 10,000 m in cut lengths of 15 m”. For twine, the unit is often kilograms or spools rather than metres.

Colour. Standard or custom. Note if colour-fastness outdoors matters; that affects the UV package and the pigment, and therefore the price.

UV package. Required for any rope used outdoors for more than one season. Specify the intended service life in years and the climate if you can; otherwise state “UV-stabilized for outdoor use” and let the supplier propose the package.

Packaging. Coils, reels, spools, balls, hanks, cut-length retail packs — plus any label, header card, sleeve, barcode, inner-pack and master-carton requirement. See rope packaging options.

Total quantity and target price. Without quantity, the supplier cannot quote a tier; without a target price, the buyer cannot tell whether the supplier is in the right range. A target price is a price the buyer is willing to pay, not a price the buyer wants to pay — it lets the supplier flag a mismatch early instead of after samples have been shipped.

Destination country and freight terms. Affects EXW / FOB / CIF quotation, documentation and any pallet or marking requirement. Not the unit price — except where the destination imposes a specific certification, marking or packaging that affects how the line is packed.

Special requirements. Spliced terminations, food-contact grade, matching an existing product, any required test reports. State upfront.
Photo vs physical sample
When the buyer’s goal is to match an existing product, a photo and a physical sample are not interchangeable.
A photo is good for:
- Confirming overall format (twine / rope / tape / braided rope).
- Confirming colour and colour combination.
- Confirming packaging format (coil / reel / spool / ball / retail pack).
- Confirming approximate diameter or tape width.
A photo is poor for:
- Yarn form — the difference between split-film and multifilament is rarely visible in a product photo.
- Construction density — a tight braid and a loose braid of the same construction look almost identical from a distance.
- Diameter tolerance — without a reference object in the frame, a “10 mm” rope looks similar to a “12 mm” rope.
- Hand feel, stiffness, twist direction.
A physical sample is good for:
- Yarn form (split-film vs monofilament vs multifilament).
- Construction (twist pitch, braid density, number of strands).
- Diameter tolerance against the buyer’s own gauge.
- Hand feel and stiffness.
- Actual colour under the buyer’s light.
- Conductor count and layout on an electric-fence line (when the buyer cuts a short section open).
- Smell (some finishes have a distinctive odour; this matters for food-contact and indoor use).
A physical sample is poor for:
- Confirming reel length and winding condition (a short sample loses that).
- Confirming production batch consistency.
If the buyer can send only one item, the sample is more useful than the photo. If the buyer can send both, send both — the photo documents packaging and reel format, the sample documents the rope itself.
For electric-fence lines specifically, a short cut section that exposes the cross-section is the single most useful piece of evidence. It confirms conductor count, conductor material (against a magnet — stainless steel is non-magnetic, tinned copper is non-magnetic, some aluminised variants are slightly magnetic), conductor diameter, and how evenly the conductors are distributed around the jacket.
A copy-paste RFQ
The example below is an illustration, not a real order, and the same format can be used for any product on the site.

The fields above are the same nine the structured RFQ form walks through. The advantage of the form is that the buyer cannot accidentally skip the field that turns out to matter — every field has a “not applicable” option, and the resulting email is consistent across buyers and across the buyer’s own team.
When the buyer’s specification is incomplete
Sometimes a buyer has to ask for a rope they have never used, in an industry they are not yet familiar with. The honest RFQ in that case is to state the use, the duty cycle, the climate and the budget, and to ask the supplier to propose the specification. A “propose the rope for this job” RFQ is not a cop-out — it is often the right move, and a competent supplier will respond with a recommended material, construction, diameter, packaging and target price for the buyer’s review.
The mistake to avoid is sending “propose the rope for this job” as a substitute for the fields above when the buyer does have a specification in mind. The supplier can only propose against what is in the RFQ.
RFQ for an electric-fence line specifically
The fields above apply to any cordage, but for an electric-fence line the specification has to extend further. Conductor material and count, resistance in Ω/m, tape width or nominal diameter, reel length, UV package and any connector / hardware reference are the fields that decide whether the line will carry a useful pulse to the far end of the fence. Sending the request
A consistent specification across these fields lets a supplier quote a single SKU and lets a buyer compare quotations across suppliers without further clarification.
